Geographic Assignments
One customer has legal team members in multiple countries responsible for the contracts and matters specific to their geographic area.

When a contract is requested, ALOE identifies the geographic location of the IP address making the request and automatically assigns the contract to the lawyer representing that area.

Renewal Workflow
Going beyond simple renewal notifications, we’ve designed several renewal processes that automate renewal steps. One example is automatically sending an email to the other party, allowing them to check Renew/Don’t Renew in this email. The workflow will either automatically generate an amendment and alert the lawyer to review it, or begin the contract termination process.

Another example is to email the department responsible for the renewal (if the legal department does not manage this) with all the information they need to hold a conversation with the other party. Once this department holds the conversation, they check Renew/Don’t Renew on the email, and the workflow moves toward renewal or termination as above. A great part about this example is that the other department doesn’t need to be a user in ALOE to be able to make these decisions in ALOE. Only the legal team working the contracts needs to pay for user licenses, which saves you money. One visual example of this workflow is shown below.

NDA Automation
This NDA automation is an example of a highly automated workflow – this removes all need for legal teams to interact with simple, repeatable processes. In the video below, you’ll see how anyone in your organization (they don’t need to pay for user accounts) can request an NDA, and the document will be automatically sent for signature and stored in your ALOE document repository.

Template Generation
We’ve set up a number of template generation automations this year, but a few that we’re excited about are:

  1. Yes/No button on the intake/request form to automatically generate the template. In instances where the other party has already presented a paper, the requestor would select “no” so that there is only one version. In instances where no other party paper has been submitted, ALOE automatically starts the process to reduce admin work for the attorney working the contract.
  2. Select template based on field entry. Using drop down fields, ALOE uses logic input by the user to determine which template should be used. This could be based on the state the other party or internal office is located in, the geographic location of the IP address requesting the contract, whether there are Financial/Marketing/HR components to the contract, and so much more. ALOE’s intake form can be set to determine which criteria is important to your contract and create a document with the appropriate clauses and details.
